Event Coordinator | Xtream Arena

Overview:

The Event & Guest Services Coordinator is responsible for assisting the Director of Events in overseeing all components of events occurring at Xtream Arena. This includes event coordination, guest services programs, in-house and contractor staffing, financials, equipment rentals, calendar maintenance, and administrative work. This position reports to the Director of Events.

Responsibilities:

• Assist in the preparation of building to meet the requirements of upcoming events/shows.



• Assist with the completion of pre-event estimates and post-event financial settlements.



• Assist with advising clients on services available from the facility and independent contractors for events.



• Function as a liaison between users of the facility and the facility staff.



• Coordinate communication between building staff and client’s show staff while serving as Manager on Duty.



• Investigate and resolve event-related complaints in a professional manner ensuring customer satisfaction.



• Gain a competency and utilize various event software platforms.



• Staff supervisor for part-time guest services team members.



• Assist in development, maintain, and implement all training activities for the Guest Services staff.



• Accountable for the maintenance and accurate documentation of hiring, employee files, contact information, staff scheduling, payroll sheets, and staffing estimates.



• Research and resolve customer service issues.



• Communicate clearly and concisely in the English language, both orally and in writing.



• Establish and maintain effective working relationships with clients, co-workers, part-time staff, guests/public, and municipal officials.



• Work a flexible schedule, including late nights, early mornings, weekends & holidays as needed.



• Other duties and responsibilities as assigned.



Qualifications:

• Strong oral and written communication skills.



• Strong computer skills in Microsoft Office applications, word processing, and Internet.



• Possession of, or ability to obtain, a valid drivers’ license.



• Knowledge of operational characteristics of events.



• Knowledge of crowd management.



• Strong knowledge of customer service practices.



• Knowledge of principles of supervising employees.



• Demonstrated ability to read and understand client agreements.



• Knowledge of fire and public safety regulations.



• Knowledge of A/V equipment and electronic systems is preferred



• Knowledge of food & beverage service practices is preferred.



• Familiarity with terminology used in entertainment/convention/public assembly settings.



• Experience with AutoCAD and VenueOps software is a plus.
