Posting Description:

Aon is looking for a Coordinator, Meeting and Events


The Coordinator will be working as part of Aon’s Global Meeting and Events Team. This role requires knowledge in the planning and execution of virtual and in-person meetings and events, and also understanding of the operations side of the department; being able to handle multiple small - midsized meetings, while gaining confidence to manage executive stakeholder groups and larger, more complex events.  It will require travel post-pandemic.


Key Responsibilities:

Direct responsibility for planning and execution of all components of managed events to include but not limited to: budget management, event registration, travel and accommodations, vendor negotiations, food and beverage, audio visual and transportation as required

Learn to develop and drive meeting and event strategy across event portfolio with varying purposes, provide expertise and industry best practices to maximize value (cost savings, higher return on invested capital, attendee satisfaction (NPS), etc.).

Employ relationship management methods and practices to identify opportunities to create value, cultivate meaningful relationships with key stakeholders and suppliers.

Competent in negotiating rates and concessions – for hotels, food & beverage and other suppliers

Collaborate with Operations, on various tasks as needed, including being a backup resource

Education and Required Experience:

Minimum 2- 3 years of experience in meeting and event planning

A B.S. or B.A. degree or equivalent experience is required, ideally in Marketing, Hospitality or Hotel Management

Strong organizational skills are required due to the varied aspects of meeting and event planning.

Ability to manage multi-event programs and projects simultaneously

Depth of knowledge of both domestic and international hotels and destinations

Event management technology (Cvent) experience a plus

Virtual event technology (ON24, Webex) experience a plus

Basic understanding of contract language

Skills & Other Requirements:

Strong project management and organizational skills, with excellent attention to detail

Can effectively interface with customers and suppliers with strong written and verbal communication skills

Solution oriented, embraces change, flexible, adapts well to changing priorities

Strong independent worker and as a team player

Willingness to travel and work outside of traditional office hours with a global team
