Office Manager



The Office Manager is an active member of our management team.  Leading by example, this position ensures the entire staff is focused on providing professional, caring patient services.  The Office Manager will supervise the front desk team; provide guidance to the staff assigned to the office; manage the providers’ schedules for the office; and oversee the efficient work and patient flow.




Manage front desk staff throughout the entire life cycle

Act as the point of contact for all internal and external questions, concerns, processes, and overall business needs; including service and lease contracts as applicable including all facility issues (A/C, leaks, etc.)

Prepare weekly and monthly KPI reports

Lead staff development and training

Accountable for ensuring provider schedules are filled appropriately and with both the patient and practice in mind

Train staff on providing excellent customer service with their communications and utilization of systems

Provide support as needed for checking in/out patients; insurance verifications; pre-authorizations; phone calls; and additional responsibilities assigned to the front desk

Coordinate the workflow and patient flow throughout the office

Provide leadership to direct and indirect reports within the office

Responsible for understanding and being able to train on software utilized by the front desk team

Develop staff through training, performance management, and creating expectations

Maintain HIPAA/OSHA requirements

Facilitate a positive, collaborative work, learning environment

All other duties as assigned



Possess at least five years of experience in a medical office position, preferably in an ophthalmology setting

Excellent customer service, communication, and interpersonal skills

Experience working in a front desk position and understanding medical terminology

Highly energetic with positive attitude

Proven success managing a team
