Program Assistant

Job Summary

This position provides program support to the grantmaking staff. The incumbent will fulfill its programmatic needs including proper execution of grant workflow procedures to ensure efficient grant processing, maintaining files and records with effective filing systems, and supporting program staff with various administrative tasks as assigned by the supervisor.

Essential Job Functions

Prepare and process grant-related documentation (grant agreements, grant summaries, no-cost extensions, budget realignments, & closure memos) to support grant funds disbursements, vendor payments& invoices, and consultant payments and/or reimbursements

Communicate effectively with partners and grantees regarding the payment or disbursement processes and to facilitate accurate recordkeeping

Organize and maintain accurate electronic and relevant records and files for program units and portfolio in Mission Central (or other filing systems) in a timely manner

Maintain the unit's grant tracking systems in a timely manner

Assist the sub-units in coordination of grant initiation meetings

Other duties as assigned

Education and Experience

Associate Degree or equivalent work experience of 4-6 years in business.

Minimum two (2) years administrative support experience, preferable supporting more than one manager simultaneously. Strong multi-tasker, paying attention to details and prioritizing the workload that comes from multiple people.

Able to perform efficiently, professionally, and amicably under stress and deadlines.

Solid organizational and time management skills. Strong interpersonal, written and oral communications skills.

Competencies, Job Requirements and Other Specialized Knowledge

Assist particularly with grant disbursements, pro forma, and receipts while maintaining accurate records.

Provide administrative support as required to the UMCOR unit.

Exceptional attention to detail.

Ability to prioritize and works with others to ensure deadlines are being met.

Ability to take initiative by seeking out new responsibilities, generating new ideas and practicing self-development.

Proficient with Microsoft Office, including Word, Excel, Outlook and PowerPoint.

Proficiency with computers and contemporary online applications/software's/systems.

Ability to understand and respect cultural, religious, and political environments and to use diplomacy when working with staff, partners, and stakeholders. Comfortable working in a faith-based context.
