Description 

Our client, an advisory firm, is seeking to hire an Administrative Assistant to support their Consumer team.

They are wanting a well-organized, efficient, and proactive team player who can multitask.

The ideal candidate will be able to maintain complex schedules, organize travel, compose emails, and answer incoming calls.

Key Responsibilities: Coordinate all travel arrangements and prepare travel itineraries Confirm flights, cars, meeting locations and attendees, contact details, materials needed, any special arrangements, etc.

Coordinate and maintain all calendar and meeting entries and invitations Coordinate and set up internal / client / prospect meetings and conference calls Responsible for timely preparation of expense reports, accounts payable/receivable and maintenance of billing files Prepare presentation materials and decks for client meetings Liaise with various internal and external parties, including clients and all levels of management Exercise sound judgment and discretion in dealing with highly confidential and sensitive business matters Coordinate group coverage - vacations, holidays, etc.

Ownership and maintenance of various needs of the group (supplies, etc.) and all other general administrative duties Assist in ensuring that the day to day maintenance of facilities is up to appropriate standards Other jobs & duties as assigned Basic Qualifications: Prior experience as an Administrative Assistant, preferably in financial services Team player and excels at working in a team environment Strong organizational skills Excellent attention to detail Ability to handle large variety of details and work under pressure across all levels of organization Proficient in MS Office (Outlook, Excel, Word and PowerPoint) and use of Internet.

Ability to work extended hours as required Proven track record of success in a corporate environment Possess excellent communication and interpersonal skills.
